Privacy Policy
This page is maintained by the OnMyBooks team and explains what information the platform handles when a business schedules with us and when their customers book an appointment.

Who does what
Businesses that use OnMyBooks decide what customer information they collect and why. We provide the software that stores and processes it on their behalf. If you booked an appointment with a business, contact that business first about your information; we will help them respond.
Information we collect
- Account information for business owners and staff: name, email address, and sign-in details.
- Booking information from customers: name, email address, optional phone number, the service and provider chosen, the appointment time, and any notes the customer adds.
- Operational records such as appointment status changes and timestamps.
- Basic technical data needed to run and secure the service, including request logs and error reports.
OnMyBooks is not intended for protected health information. Please do not enter clinical, diagnostic or medical record details into booking notes.
How we use it
- To create, confirm, reschedule and cancel appointments.
- To send transactional messages such as booking confirmations and change notices.
- To operate, secure, debug and improve the service.
- To meet legal, tax and accounting obligations.
We do not sell personal information and we do not use booking data for advertising.
Service providers
We use a small number of infrastructure providers to host the application, database and authentication, and to deliver transactional email. They process information only to provide those services to us.
Retention and deletion
Appointment records are kept for as long as the business's account is active, so their calendar history stays intact. When a business closes its account, we delete or anonymise its data within 90 days, except where we must keep records for legal or accounting reasons. A customer can ask a business to delete their booking record at any time.
Your choices and requests
You can request access to, correction of, or deletion of your information by emailing us through the contact page. We will verify your request before acting on it and respond within 30 days.

Changes
If we make a material change to this policy we will update the date above and notify account holders by email before the change takes effect.
